				<content:encoded><![CDATA[<p>Recently a Manager of Sales Administration emailed us and asked us the following question:</p>
<p>Subject: How do you keep attendees engaged during virtual meetings?</p>
<p><strong><em>Do you have any suggestions on articles, books, etc. that address Virtual Meetings regarding how to engage the audience, stop multitasking and keep them engaged?</em></strong></p>
<p>Here’s how we answered his email:</p>
<p>Hi Gary,</p>
<p>We have been heavily involved in this topic for a long time. IMT led the research study for MPI (Meeting Professionals International) to develop a research base and a “How-To-Guide for Creating Hybrid Events.”  (Download it at <a href="http://mpiweb.org/">mpiweb.org</a>.) We have been involved in creating several <a href="http://www.interactivemeetingtechnology.com/" target="_blank">hybrid meetings</a> applying those lessons.</p>
<p>Here are some things to look for in terms of engagement:</p>
<p><strong>(1) Is the content appropriate to the audience?</strong> Most people try to do a 1 size-fits-all approach with their content. People lose interest much faster online. So, you need to do a better job with targeting.</p>
<p><strong>(2) What does the content look and feel like?</strong> Most people’s reference point for online content is live television (Election results, live sports and talk shows.  Think Oprah.). Are you trying to emulate these formats for content delivery OR are you just recording subject matter expert lectures with boring PowerPoint slide shows?</p>
<p>If you think about how live television works &#8211; it moves very quickly from segment to segment and topic to topic. The content is much shorter than a live in-person meeting. Camera angles change as well.  In addition, reconsider the length of your virtual sessions and how you put them together.</p>
<p><strong>(3) What are you doing to engage people?</strong>  I would look for two things: (1) What tactics are you using? and (2) How much time are you allocating to engagement?</p>
<p>Your attendees are one click away from doing ANYTHING else on the Internet and you only control a small window for their attention. Most online events are Subject Matter Experts talking to people for 56 minutes with 4 minutes allotted for Q&amp;A.</p>
<p>If the attendee has nothing to contribute (ideas, comments, etc.), then you are “betting&#8221; that your speaker is strong enough that they will resist the temptation to click away. In my opinion, that is a big ask!  I don’t know any speakers that can keep 100% of the audience’s attention.</p>
<p>The person responded and thanked me for our help. Then, he told us that his virtual meetings concentrated on the following:</p>
<ul>
<li>Product info</li>
<li>Shipping concerns</li>
<li>New policies/processes</li>
<li>Info such as upcoming training or meeting</li>
</ul>
<p>This is boring stuff, especially when you can’t see people face-to-face. 				<content:encoded><![CDATA[<p>If your annual education conference attracts only 20% of your members what are you doing for the other 80%? How do you create and deliver education for them? How do you bring your community together?</p>
<p><a href="http://www.mpiweb.org">Meeting Professionals International</a> is making some bold moves in 2011 to tackle some of these challenges. Have a look at what they are doing at their annual world education conference and let me know what you think.</p>
<h4>Rolling Out the Hive</h4>
<p>The Hive is designed to be the hub of digital buzz for MPI&#8217;s 2011 WEC (see sketch above). It&#8217;s a physical space in the global village. The Hive combines the cyber cafe, info desk, interview studio, device recharge point, twitter wall, social media aggregator, lounge and a stage (for quick tech lessons) all in one place. The idea is to give attendees multiple ways to connect to the people, content and ideas at WEC. Digital Rookies can connect with Digital Allstars. Groups can hold tweetups. It will be so much more than a cool place to recharge your phone and hangout.</p>
<h4>Transforming MPI Website into a Virtual Hub</h4>
<p>In another bold move, the MPI website will become a funnel for all social media during the conference. It will aggregate the tweets, photos, videos, blog posts, etc into a single place. In addition, sessions will be streamed live to the MPI website. Some content will be free and others will be available to members only. The rest will be uploaded into MPI&#8217;s on demand program. This is a major shift from 2009&#8217;s $300 virtual access pass experiment and a good evolution.</p>
<h4>Crossing the Pond</h4>
<p>The UK chapter (a large european chapter) is working on an initiative to run a parallel event. They will get UK members together and have a viewing party. Some of the sessions from Orlando will be streamed live to the UK chapter&#8217;s viewing headquarters. If this comes together &#8211; it will be a first for MPI and could open the doors for other viewing pods in other regions with heavy membership around the world.</p>
<h4>Bottom Line</h4>
<p>If 80% of your members are not attending your annual conference, consider other ways to connect them with the people, ideas and content from your event. Meeting Professionals International is shifting to digital with a multi-pronged approach.</p>

<p>It is hard to pack so much into a 45 minute presentation. Actually, we left out a ton of stuff from the presentation &#8211; sometimes intentionally and sometimes by accident. (The timeclock was ticking.)</p>
<p>For example, we didn’t talk much about planning and objective setting, because we assumed that most people will have already taken that step before starting. Also, we didn&#8217;t talk much about the Technology Recipe &#8211; because I did that in the post: <a href="http://interactivemeetingtechnology.com/2010/09/25/nacho-mamas-deep-fried-hybrid-event-on-a-stick/">Nacho Mama&#8217;s Hybrid Event Recipe</a>.</p>
<h2>Thirteen Points From The Webcast</h2>
<ol>
<li>Most hybrid events are like bad public access television</li>
<li>Most attendees are in cubes &amp; you dare them to not be distracted</li>
<li>“Live” TV are a good model for hybrid/virtual</li>
<li>Hosts that bridge the live &amp; remote are imperative</li>
<li>Additional programming keeps the virtual audience’s attention</li>
<li>Your technology should support your objectives (indirectly made)</li>
<li>Incorporate input from remote locations (Your PODS)</li>
<li>Use business games, group projects, etc to turn viewers into participants</li>
<li>Integrate remote presentations from other locations</li>
<li>Two-way communication with f2f &amp; remote is important</li>
<li>Program for your f2f, POD and remote audiences</li>
<li>Plan for sharable content &amp; ideas to help extend your reach</li>
<li>Define team roles and prepare</li>
</ol>
<h2>Bottom Line</h2>
<p>Planning a good hybrid event requires much more than putting a camera in the back of the room and pushing record. You need to design and plan an experience that will connect and engage your remote audience.</p>

<p>Mike McAllen and I are taking this challenge to heart. Today, we are launching a new show focused on technology strategy, social media and the latest trends and tools in event technology. Our goal is to create another platform for discussing event technology.</p>
<p>We are calling this new show “Going Digital with Samuel J. Smith.” You can listen to the first installment here.</p>

<p>While I haven&#8217;t found any &#8220;event&#8221; app that seems to pull everything together in &#8220;just the right way&#8221; &#8211; I have found several event apps that are worth checking out. In fact, if you could mash the best elements of these apps together &#8211; you could have an awesome event app. Today, I want to share a few of these apps with you.</p>
<p>Without further ado, here are five event apps. that I hope provide you a little inspiration.</p>
<h4>Vancouver Olympics 2010</h4>
<p><a href="http://interactivemtgtech.files.wordpress.com/2010/04/vanolymp.jpg"><img class="alignleft size-full wp-image-1561" title="VanOlymp" src="http://interactivemtgtech.files.wordpress.com/2010/04/vanolymp.jpg" alt="" width="90" height="82" /></a></p>
<p><strong>&gt; Which Event:</strong> 2010 Vancouver Olympics</p>
<p><strong>&gt; What does it do: </strong>This app was designed to be an Olympics guide that fit into the palm of your hand. It provided a real time schedule of events that was searchable and sortable by venue, date, event type, etc. It used the phone&#8217;s geo-position capability to help users find their way to venues, etc. Finally, there was a live Medal scoreboard and news stream that helped you stay on top of the latest news.</p>
<p><strong>&gt; Why is it a source of inspiration:</strong> I thought the user interface was innovative and well done on this application. While I was writing this post, I learned that if you shake the phone while the app is on &#8211; it will show you different videos. Cool. (Don&#8217;t ask me why I was shaking my iphone!)</p>

<h4>Meet Different 2010</h4>
<p><strong><a href="http://interactivemtgtech.files.wordpress.com/2010/04/md10.jpg"><img class="alignleft size-full wp-image-1563" title="MD10" src="http://interactivemtgtech.files.wordpress.com/2010/04/md10.jpg" alt="" width="90" height="79" /></a>&gt; Which Event: </strong>Meeting Professionals Internationl&#8217;s North American Education Conference (called Meet Different)</p>
<p><strong>&gt; What does it do:</strong> This app provided a real time schedule, links to social tools, speaker profiles, etc. Some of the same stuff as above.</p>
<p><strong>&gt; Why is it a source of inspiration:</strong> I liked how this application bridged the social applications (Twitter, Pathable community, etc.) into the application.</p>
<h4>March Madness on Demand</h4>
<p><a href="http://interactivemtgtech.files.wordpress.com/2010/04/mmod.jpg"><img class="alignleft size-full wp-image-1564" title="MMOD" src="http://interactivemtgtech.files.wordpress.com/2010/04/mmod.jpg" alt="" width="85" height="80" /></a><strong>&gt; Which Event:</strong><span style="font-weight:normal;"> 2010 NCAA College Basketball Tournament</span></p>
<p><strong>&gt; What does it do:</strong> This app provided a status update on all games, streamed the radio broadcasts and live video broadcasts from the games. Also, it linked personalized content just for me on the NCAA hoops website. Finally, the application sent me notifications that told me when games were close OR when a potential upset was about to happen.</p>
<p><strong>&gt; Why is it a source of inspiration:</strong> The live video and alerts (also called push notifications) were awesome here! You could select different types of alerts that you wanted to receive. Then the application would send you these little &#8220;heads up messages.&#8221; I think this could be a useful way to send attendees special update messages like “You better get to the lobby! The bus is leaving in 10 minutes.”</p>

<h4>MTO Summit Chicago</h4>
<p><strong><a href="http://interactivemtgtech.files.wordpress.com/2010/04/mtosummit.jpg"><img class="alignleft size-full wp-image-1565" title="MTOSummit" src="http://interactivemtgtech.files.wordpress.com/2010/04/mtosummit.jpg" alt="" width="87" height="77" /></a>&gt; Which Event:</strong> Meeting TechOnline Summit Chicago</p>
<p><strong>&gt; What does it do: </strong>This app provided a schedule for the event, personalized schedule, link to speaker profiles, exhibitor information, session feedback forms, twitter stream and the exhibitor guide.</p>
<p><strong>&gt; Why is it a source of inspiration: </strong>The personalized schedule was very useful. I could select different sessions from the event and include them in my schedule. It was very easy to do and I could see how it would simplify life at larger, more complex events. Also, this application had surveys and feedback forms embedded in the schedule. Having paperless feedback forms rather than paper made it easy to complete the forms and submit them &#8211; like 1-2-3.</p>
<h4>Digital Now</h4>
<p><strong><a href="http://interactivemtgtech.files.wordpress.com/2010/04/dignow.jpg"><img class="alignleft size-full wp-image-1566" title="DigNow" src="http://interactivemtgtech.files.wordpress.com/2010/04/dignow.jpg" alt="" width="88" height="79" /></a>&gt; Which Event:</strong> Digital Now Conference</p>
<p><strong>&gt; What does it do:</strong> This app provided an agenda, speaker profiles, video case studies, partner information, linkedin and twitter integration, ability to send feedback to organizer and the ability to record audio notes.</p>
<p><strong>&gt; Why is it a source of inspiration:</strong> I really enjoyed the video case studies. It seemed that the videos were embedded in the application when I downloaded it. I didn’t have to connect to some other place etc. This was a great thing. Also, the links to the social sites (twitter and linkedin) allowed me to engage right away from the application.</p>

<h4>Bottom Line</h4>
<p>Hopefully this post gives you a good idea of some of the creative things that other events are doing with their smart phone apps. I am sure that this is just the tip of the iceberg. I imagine that there are many more interesting ideas out there as well.</p>

<h4>Bottom Line</h4>
<p>Social Media is creating new opportunities for you to connect, engage and educate your attendees. As your attendees get used to having more of these two way experiences in their real lives &#8211; they will start expecting similar experiences from your events. While there are many technologies that can help you &#8211; you need to make sure that you (1) set your objectives, (2) assess your audience and (3) map your needs to the resources that are available to you.</p>

It rocks! And there are applications for your event guides and exhibitor brochures.</p>

<p>Imagine how great YOU and your event would look if your exhibitor brochures or your event guides worked like this. Ok -they will probably never be this cool &#8211; but what if they were 1/2 as cool?  When I wrote the post <a href="http://interactivemtgtech.wordpress.com/2010/01/27/ipad-it-just-works-but-will-it-work-for-events/" target="_blank">iPad: It just works&#8230;but will it work for events</a> &#8211; I had these kind of applications in mind. I just wasn&#8217;t smart enough to implement it.</p>

<h4>The Transformation Begins</h4>
<p>Right now the digital world and face-to-face worlds are colliding. I think this collision will create new opportunities for events. As attendees become more comfortable with these two way experiences in their own lives &#8211; they are going to start demanding similar experiences from you. Maybe they already are?</p>

				<content:encoded><![CDATA[<p>Today, Steve Jobs announced Apple’s latest product the iPad. For most of us “shiny object people” this was a much anticipated announcement.</p>
<p>Why?</p>
<p>Well &#8211; Apple products have been known to change the way that we interact with technology and experience life. Look at the iPhone, the iTouch, the itunes store and app store. These things have changed the way that hundreds of millions of people experience technology.</p>
<p>Also as was said many times today by Steve Jobs: It just works. When it comes to technology &#8211; everyone likes technology that just works.</p>
<p>What is so cool about the new iPad?  Have a look for yourself. Here is a short video from Apple that explains everything.</p>

<h4>Will It Work For Events?</h4>
<p>Today, at events, we already have event applications built around laptops, mobile phones and purpose built devices.  What if anything would the iPad be good for at an event?</p>
<p>Here are some event applications that popped into my head while watching the live announcement:</p>
<ul>
<li><strong>Larger Screen = bigger fonts = easier readability for all types of attendees (like baby boomers).</strong> This means that you could create e-versions of your Show Daily, conference guide and exhibitor guides. This would make it very easy to make an event paperless AND preserve your sponsorship revenue.</li>
<li><strong>Incorporating Multimedia</strong>. There will be a clear opportunity to include multiple photos and video clips from the show floor in the e-versions of the Show Daily. Electronic Exhibitor guides could contain video demonstrations of products. Electronic Conference binders could contain speaker videos. <strong>The kicker?</strong> If you are recording sessions these sessions could be setup online and available for viewing/downloading on the iPad right away.</li>
<li><strong>Interactive Demos.</strong> Today &#8211; interactive demos can be a challenge to run on the show floor. I think that we will see more and more interactive marketing companies creating demos, games, quizes, etc that get attendees engaged on the show floor (or in the streeet). These apps will help companies capture new leads, qualify them, and feed them into the CRM system right on the show floor. In my opinion, the iPad &#8211; as a hybrid of the iphone and the laptop &#8211; will be perfect for this type of application.</li>
<li><strong>Agendas, One-to-One Appointments, and Personalized Agendas.</strong> Did you see the new calendar function? I think that someone will come up with an application for the iPad that creates personalized agendas for attendees, schedules appointments, etc. While the iPad frontend needs to be easy to use &#8211; the database, scheduling engine and reporting will be a powerful part of this solution.</li>
<li><strong>Corporate Backchannel.</strong> With the powerful user interface and portability, I could see someone creating a corporate backchannel application that runs on the iPad. While any device could be used to enter comments into the backchannel &#8211; the iPad advantage will be in viewing all of the other comments on the backchannel and privacy. Corporates don&#8217;t want their internal discussions tweeted to everyone.</li>
<li><strong>Speaker Q&amp;A.</strong> I can see iPads sprinkled across the roundtables in a large conference room. Attendees can use them to enter questions for speakers, see what others asked, and maybe even rate/rank them. How cool would it be to rate questions for the CEO? Awesome!</li>
<li><strong>Way-Finding</strong>. I can see people using the iPad GPS to figure out the best route to their next appointment on the show room floor or to another part of the center or to the off-site event this evening. (Note: GPS may not be accurate enough to find most 3X3 meter booths inside of a hall.)</li>
<li><strong>Sponsorship</strong>.  There was a lot of screen real-estate for including innovative sponsorships &#8211; beyond banners. I am sure we will see some innovative digital sponsorship applications emerge.</li>
</ul>
<h4>A Word of Caution</h4>
<ul>
<li><strong>Venue Wifi Sucks.</strong> enough said.</li>
<li><strong>Devices For Each Person.</strong> For the situations where <em>each</em> attendee needs a device &#8211; IMO the purpose built device will be a better solution than a mobile phone or iPad type product. Why? The purpose built devices have return-me-now alarms. They have higher adoption rates. They come with private networks. Usually&#8230;they come with trained staff that know how to manage the technology across many different user types.</li>
</ul>
<h4>Bottom Line</h4>
<p>The iPad is a new platform that will change the way that we experience events. Not necessarily &#8211; because of the ways that I suggested above.  I think the iPad&#8217;s biggest impact on events will come from showing attendees, sponsors, exhibitors, speakers and event organizers a new way to use technology and experience life.  As people get more comfortable with these new technology experiences they will start demanding similar types of experiences from their face-to-face events.</p>
